An invoice becomes overdue.

Normally, someone has to notice.

Then they check the account, figure out whether the customer already paid, look through emails for context, decide whether to follow up, write the message, update the CRM, notify the account owner, and remember to check again a few days later.

If the invoice still isn't paid, the process starts again.

This workflow handles the follow-up automatically.

The Goal

The user wanted to reduce the manual work involved in collecting outstanding invoices.

Billing information lived in the accounting system. Customer information lived in the CRM. Conversations happened through email. Account owners communicated in Slack. Payment status lived somewhere else entirely.

The problem wasn't sending a payment reminder.

The problem was knowing when to send one, what to say, who should be involved, and what should happen next.

The goal was to create a workflow that continuously understands the state of an outstanding invoice and takes the appropriate next action until the payment is resolved.

Depending on the company's existing systems, the workflow could connect with:

How the Workflow Works

Step 1: An Invoice Approaches Its Due Date

The workflow begins before an invoice becomes a problem.

PlatypusOS can review upcoming invoices and identify which payments are approaching their due date.

For each invoice, it can gather:

  • Customer

  • Invoice amount

  • Due date

  • Payment status

  • Account owner

  • Previous payment history

  • Outstanding invoices

  • Relevant contracts

Instead of treating every invoice the same way, the workflow begins with context.

Step 2: PlatypusOS Determines Whether Follow-Up Is Needed

Before sending anything, PlatypusOS checks whether there is a reason not to.

For example:

  • Has the customer already paid?

  • Is a payment currently processing?

  • Did the customer recently say payment is on the way?

  • Is there an active billing dispute?

  • Has the account owner agreed to different terms?

If no action is needed, nothing is sent.

If follow-up is appropriate, the workflow moves forward.

Step 3: The Customer Receives the Right Reminder

PlatypusOS prepares a reminder based on the situation.

A reminder before the due date might simply confirm that the invoice is coming up.

A message three days overdue may be friendly and concise.

A message several weeks overdue may need to be more direct.

The workflow can adjust the communication based on:

  • How overdue the invoice is

  • The amount outstanding

  • The customer's payment history

  • Previous conversations

  • The relationship with the customer

  • The company's collection policies

Instead of sending the same automated template to everyone, the message reflects the actual situation.

Step 4: The Account Owner Is Kept Informed

Some overdue invoices don't require an account manager's attention.

Others do.
