A customer reports a problem.

Normally, that can start a chain of manual work.

Someone reads the support request, searches for account information, checks previous conversations, tries to understand the severity of the issue, asks another department for help, creates an internal ticket, updates the customer, follows up with the team, and eventually makes sure the issue was actually resolved.

The problem isn't usually that any one of those steps is difficult.

It's that someone has to coordinate all of them.

This workflow does that automatically.

The Goal

The user wanted to reduce the amount of manual coordination required when an important customer issue came in.

Customer information lived in the CRM. Support history lived in the ticketing system. Technical issues were tracked in Jira. Internal conversations happened in Slack. Customer communication happened through email.

Before anyone could solve the problem, someone first had to collect the context and get the right people involved.

The goal was to create a workflow that could understand an incoming customer issue, gather the relevant information, determine what needed to happen next, coordinate the response across teams, and keep the customer informed throughout the process.

How the Workflow Works

Step 1: A Customer Issue Arrives

The workflow begins when a new customer support request is received.

PlatypusOS reviews the message and identifies what the customer is asking for.

Rather than treating every incoming ticket the same way, it can consider:

  • The type of issue

  • The urgency of the request

  • The language used by the customer

  • Which product or service is affected

  • Whether the customer is blocked

Step 2: Customer Context Is Gathered

Step 3: The Issue Is Analyzed

PlatypusOS reviews the customer's request alongside the additional account information.

It can identify:

  • What appears to be happening

  • How serious the issue may be

  • Whether an existing solution is documented

  • Whether another department is required

  • Whether the issue should be escalated

  • What information is still missing

  • What the likely next step should be

If the issue matches an existing solution in the company's documentation, that information can immediately be provided to the support employee.

If the problem requires additional investigation, the workflow moves it forward.

Step 4: The Right Team Is Brought In

When another person or department is needed, PlatypusOS creates the appropriate internal request automatically.

For example, a technical problem could create a Jira or Linear issue containing:

  • Customer information

  • A summary of the problem

  • Steps already attempted

  • Relevant screenshots or attachments

  • Previous related issues

  • Customer impact

  • Priority

  • A link to the original support request

The appropriate team can also be notified in Slack or Microsoft Teams.

Instead of receiving a message that says:

"Can someone look at this customer issue?"

The team receives the context they need to actually start working on it.

Step 5: The Customer Receives an Update

While the internal team begins investigating, PlatypusOS drafts a response to the customer.

The message can:

  • Acknowledge the problem

  • Confirm what the team understands

  • Ask for any missing information

  • Explain what is happening next

  • Provide an expected follow-up

  • Reference any immediate workaround

The response can be written in the company's established support voice and reviewed by an employee before it is sent.

The customer receives a faster, more informed response without the support employee having to reconstruct everything manually.

Step 6: The Issue Is Monitored

The workflow doesn't stop after the ticket is handed to another team.
